UAE VAT Compliance: What Your ERP Must Handle in 2025

With FTA audits increasing, businesses can no longer rely on spreadsheets. Here's what your accounting software must do to keep you compliant.

Why VAT compliance is more than just a checkbox

The UAE's Value Added Tax regime, introduced in 2018, has matured significantly. The Federal Tax Authority now cross-references data across businesses, making accurate, timely VAT filing essential. For many SMEs, however, VAT reporting is still a manual, error-prone process built on spreadsheets and disconnected accounting tools.

The result: incorrect input tax claims, missed filing deadlines, and — increasingly — FTA audit notices. Here's what an ERP system must handle natively to keep your business compliant.

"FTA audits have increased significantly since 2022 — digital records are no longer optional."

1. Tax codes on every transaction

Every purchase and sale must be tagged with the correct VAT treatment: standard rated (5%), zero-rated, or exempt. A compliant ERP enforces this at the point of entry — not as an afterthought at month end.

2. Automatic VAT return preparation

Your ERP should generate the VAT 201 return directly from your ledger. That means Box 1 through Box 14 populated automatically, with supporting details for each line. You review and approve — the software does the calculation.

3. Tax invoice formatting

UAE tax invoices must contain specific fields: TRN, invoice date, line-item tax amounts, and totals in AED. Non-compliance here isn't just an audit risk — your customers may reject invoices that don't meet FTA standards.

4. Audit trail and document storage

The FTA requires businesses to retain records for five years. An ERP with built-in document management keeps every invoice, credit note, and payment linked to the originating transaction — fully searchable and audit-ready.

5. Multi-currency handling

Transactions in foreign currencies must be converted to AED at the exchange rate on the transaction date. Your ERP should handle this automatically and record the rate used — critical for accurate VAT returns when you trade internationally.
